Those with multiple roles will receive an RU ID that indicates their primary relationship with the University based on the following hierarchy (employees, students, and guests). Do not alter or punch holes in your RU ID.

Online Photo Submission

All staff, faculty, and guests must upload their photo online for their RU ID. Retirees may choose to use their faculty/staff RU ID card photo, or they can upload a new photo online.

Photo requirements, restrictions, and an online photo submission tutorial can be viewed here. You will receive an email confirmation of your photo’s approval status (approved or denied). Please check your official Rutgers email account, personal email account, and spam/junk folders. If your photo does not meet the requirements, please upload a new photo that does.

Fees

There is no fee for your first RU ID. All replacement cards are subject to a $20.00 replacement card fee per University Policy, 30.1.10.

New Employees

Staff and faculty must have an active role to be eligible to receive an RU ID. Additionally, you must have activated your NetID and uploaded your photo online.

New employees will receive their RU ID at new employee orientation. If you are attending virtual orientation, are not attending orientation, or were previously issued an RU ID, please visit an ID Card Service Center to obtain your RU ID. For those attending in-person orientation, please upload your photo online 2-3 days prior to orientation.

New Retirees 

Retirees must have their retired status confirmed by University Human Resources in the HCM system before receiving an RU ID. Additionally, you must have activated your NetID and uploaded your photo online.

Retirees need to visit an ID Card Service Center to have their RU ID issued. Please bring your faculty/staff RU ID to exchange.

New Guests

Guests must have an active role to be eligible to receive an RU ID. Additionally, you must have activated your NetID and uploaded your photo online.

To become a guest in the university's Registry, your sponsoring department must submit a Guest Role/NetID request form through the Rutgers Guest Request System: requests.rutgers.edu/guest/guest.htm

Questions regarding the guest sponsorship process should be directed to the OIT Help Desk.

New (sponsored) guests must visit an ID Card Service Center to have their RU ID issued. An ID Card Service Center may request a completed Guest ID Request Form.

Replacement RU ID

To replace a lost/stolen RU ID, please visit an ID Card Service Center.

Once a replacement RU ID has been issued, your previous RU ID is permanently suspended and it cannot be reactivated for any reason.

If you had building access permissions on your RU ID, those permissions will transfer to your new RU ID within 30 minutes of the new RU ID being printed.

Updating your RU ID

If you have a name change, role change, normal wear and tear, or an older technology RU ID, you may exchange it for a new one. Please bring your current RU ID to an ID Card Service Center to exchange it. If your RU ID was issued prior to March 5, 2018, we strongly encourage you to upgrade it to the newest technology RU ID.

If you change departments/campuses, and your primary role remains employee, you do not need to obtain a new RU ID.
